2.2. Enter & Post Cashbook Transactions

 
In the General Ledger Enter and Post Cashbook Transaction section, you have to option of entering a number of transaction types, including Cheques, Deposits, Stop Orders and Other Payments, as well as Other Receipts
 
Data can ONLY be entered and captured on Level 1 Accounts - find more information about Account Levels & Columns
 
 
Before you begin Entering and Posting any cashbook transactions, start by creating your first batch
 
Creating a New Batch before you begin processing transactions, or selecting an existing Batch is necessary for providing valuable information to and from all your integrated Win Accounting modules, enabling your Accounting Reports to present meaningful data and analysis
 
Once your Batch has been created / selected, choose your Transaction Type, and proceed with Inserting your transaction details
 
 

Entering and Posting Cashbook Transactions:

 
Creating a New Batch / Selecting Existing Batch
 
On the Enter and Post Cashbook Transactions screen, select your desired batch by either entering the Batch Number, or by using the handy magnifying glass browse button
 
If you have no batches in the Browse Batches window, click "Insert" to create a new batch
 
When Creating a New Batch, the Batch Number will auto-populate, based on the previous batches created
 
Easily add a Batch Date and choose your desired Cashbook Account (either by entering the code, or by using the browse button) - this will become the Default Cashbook for the specific Batch
 
Click OK to save your Batch, and click Select to choose your desired batch for transaction entering and posting
 
 
Choosing Transaction Type
 
Choose your Transaction Type and click "Insert" to enter the Cashbook Transaction
 
Choose between Cheques, Deposits, Stop Orders and Other Payments, and Other Receipts
 
 
 
 
Inserting A New Cashbook Transaction
 
Once your Transaction Type has been selected, click Insert to enter and capture the relevant transaction information
(in this example, we're entering a Cheque)
 
This is a Single Entry, meaning that whichever Account is selected (and Debited or Credited), the opposite Entry will automatically take place for the Batch-Selected Default Cashbook Account
(in this example, the Bank Account, code 2410-0000 is used)
 
When entering a Cashbook Transaction, enter the Transaction Date, the relevant Level 1 Account Number, the Transaction Amount, the Entry Type (Debit or Credit), as well as the VAT Code
 
Use the Browse Data Accounts lookup to easily view and select your desired Account
 
Take note: Data can only be entered and captured into Level 1 Accounts
 
You also have the option of entering a Reference as well as an Entry Narration
 
Click OK to save your cashbook transaction and add it to the selected batch - now you can add additional transactions to the selected batch before posting
Viewing Unposted Report
 
 
Before posting your batch, easily view the Unposted Report
 
The Report provides a concise rundown of the Accounts and Totals that will be either Debited or Credited, listing the Default Cashbook Account that is used for the Double Entry
 
In the example above we see "REFChq", a cheque transaction with the "Sales - Category 2" Account Credited (and the default bank account debited)
 
We also see "REF01" for Items Sold (Sales of General Items Credited), and then the Items were returned (Sales of General Items Debited)
 
If the Batch Totals is within brackets, the total is Credited, otherwise it is Debited
 
Once you're happy with the Unposted Report, you can proceed to Post the batch - this will commit the Entered Cashbook Transactions into the General Ledger module
