1.2.1. After Adding: Additional Client Information

 
Additional Debtor Information should be inserted into the now-accessible Customer Details section after a New Customer has been added and a unique Debtor Code has been assigned
 
Once a Customer has been added to the Win Acc Debtor Control Module, you will have the ability to:
 
 
 

Setting Monthly Recurring Debits:

 
Inserting Monthly Recurring Debits
 
Set up automatic monthly billing for your customers with ease - save time & get paid on time!
 
When inserting a new Monthly Recurring Debit, you are required to enter a Recurring Amounts, as well as the relevant Sales, Product & VAT Codes
 
Enter a relevant Description, as well as the Cost Price and Group Code to help unlock the full potential of your Accounts Receivable Accounting Reports
 
Viewing/Modifying your Recurring Debits
 
The general "Recurring Debits" screen for each individual client provides a concise rundown of all current recurring debits
 
Select a Monthly Recurring Debit to further hone in on the accounting details attached
Recurring Debits List
 
 
 
A list of all your Monthly Recurring Debits are consolidated in your List of Recurring Debit Entries Report, allowing you to quickly and easily keep track of all the automatic billing taking place each month
 
 

Managing Back Orders:

 
Adding Back Orders
 
Back Orders are typically created automatically when integrating with the Win Acc Stock Control Module
This is done when a customer invoice is posted for stock that exceeds the amount on hand
 
The Customer Back Order section is flexible, and provided for informational and inventory analysis purposes
With this in mind, Back Orders can also be setup manually using this feature
 
When creating a Back Order, you will be required to add stock quantity amount and a Back Order Code (for internal reference)
You also have the option of inserting a Store Code and Stock Category Code for easier inventory management
 
Viewing/Modifying your Back Orders
 
The concise Back Order list offers an easy way to view all current and historical Back Orders for a specific client
 
Avoid overstocking and stock-outs using this valuable information, in conjunction with the Stock Control Inventory Turnover Report
List Back Orders Report
 
 
A list of all your Back Orders are consolidated in this Setup & Configuration Report, allowing you to quickly and easily keep track of all Back Orders across your different clients
 

Adding Sub-Stock / Negotiated Pricing:

 
Using Sub Stock
 
Sub Stock is a complex function offered through the Debtors Control Module that enables you to insert unique negotiated pricing for a client
This feature requires a complex understanding on the Win Accounting Software
 
Sub Stock can also be used as a way to automatically create invoices, as well as be used as a quick-list lookup table for frequently-used items assigned to a specific client
 
With this in mind, speak to your Win Accounting Service Provider/Customer Support for additional information and help implementing Sub Stock
 

Managing Delivery Addresses:

 
 
 
Adding a New Delivery Address
 
Win Accounting's Debtors Control Module enables you to set up multiple delivery addresses per client
 
When adding a new Delivery Address, you are required to add a unique Delivery Address Code
 
Take Note: The Delivery Address added with code “001” will be used as the Default Delivery Address when creating a document - You can easily select a different Delivery Address on the fly, if required
 
To help speed up time when it comes to document creation, you can also assign a specific Salesman, as well as the Area Code and Route Code
 
If relevant, here you can also add details relating to the specific delivery address:
Enter the Name of the debtor/delivery location, the name of the person that will be expecting the delivery, as well as the relevant telephone, cell and email for that delivery address
 
Add the delivery address and click “OK” to save
 
Now you can use the various Debtors Control Reports to gain valuable insight into the profitability of each delivery
 
 
Viewing/Modifying your Delivery Addresses
 
Easily view all Delivery Addresses you have setup for the selected Debtor in the ‘Customer Delivery Address Details’ window
 
Highlight a delivery address and click “Change” to edit it - or click “Insert” to add a new Delivery Address
Debtor Delivery Address List
 
 
A list of all your Debtor Delivery Addresses are consolidated in your 'Delivery Address List' Report, found under the 'Setup / Config' section
