2.1. Getting Started: Creating First Batch

 
Get started using Stock Control Enter and Post by first Creating a New Batch,
Note: this is recommended even if you don't wish to make use of Batched Transaction Processing
 
This is necessary to provide valuable information to and from all your integrated Win Accounting modules, speeding up transaction processing and enabling your Accounting Reports to present meaningful data and analysis
 
With this in mind, all transactions should be captured into a batch - and never captured into a zero-numbered "batch"
 
If you don't wish to make use of multiple unique batches, you will be able to simply use your first batch as your "catch-all" for all future transactions
In this scenario, your batch should remain open - If you do close or delete the batch though, a new batch will have to be created before you begin capturing additional transactions
 
Once transactions are captured and posted, the specific documents (invoices, credit notes, receipts, adjustments or transfers) can be posted/confirmed, the batch however will remain open and available for you to quickly and easily capture and post additional transactions
 
Stock Control Enter and Post Transaction Types are indicated as follows:
 
Invoice = I
Credit Note = C
Receipts = R
Adjustments = A
Transfers = T
 
 

Creating Your First Batch:

 
 
Step 1:
Batch Lookup
 
It's important not to capture any transactions before selecting a batch
(this means that if the Batch No is 0, you'll need to first create or select a batch)
 
This can be done by clicking the Batch Lookup Button to view your batch list / create a new batch
 
 
Step 2:
Selecting / Inserting a New Batch
 
If you have any batches in your Batch List, and wish to use this batch, simply double click the desired batch or highlight it and click the "Select" button
 
If there are no batches currently in your batch list, click the "Insert" button in order to add a new batch
Step 3:
Inserting New Batch Details
 
Add the relevant batch information here
The Batch Number will automatically populate - enter a Batch Date and Description
 
Capturing Documents
 
Once your batch has been created, easily view the Batch Description and Batch Date
 
Here you can also set the Default Store Code to use for the specific Batch
While Defaults are set to help save time and speed up the process, all defaults are flexible and can be modified/changed on-the-fly
 
 
 
Posting Your Batch
 
After you are finished entering transactions into a specific batch, easily post all relevant transaction documents in one go - this helps save time and lowers admin costs
 
Once posted, transactions are committed into the Win Accounting Stock Control Module, enabling it to provide you with useful business data and analysis
 
Post your batch(es) by either clicking the "Post" button within the Transaction Processing Section, or post them directly, using the Post Batches Section on the Enter and Post tab
Posting Multiple Batches
 
If you have multiple unique batches that you wish to post in one go, enter the starting Batch ID into the "From" field and the last Batch ID into the "To" field and click "Print"
 
Subsequently, posting can be completed directly using the Post Batches section
(found on the Enter and Post tab)
