The Debtors Control "Reports" tab provides an extensive list of flexible Accounting Reports focusing on your Accounts Receivable
 
Better visualise and connect with your business data:

Audit Trails Reports

1. Audit Trails Reports
 
The Audit Trails Report Section traces the detailed transactions of your Debtors Control, providing a step-by-step documented history of each transaction
 

Batch Control Report:

Keep track of all batches and transactions posted from the Document Capture and/or Enter & Post Transaction sections using the Debtors Batch Control Report
 
This report provides valuable and concise data regarding your batches, including the relevant Debtor Code, Document Number & Reference, Transaction Types, as well as Accounting Information for every posted batch
 
Easily view totals for each unique batch - choose whether you want the report to show Full Details of all documents within a batch, or whether you only want to see Batch Totals
 
Select your desired Date Range or filter by Batch Number to pin-point the exact data that you're after
 

Stock Audit Trail:

Use the Stock Audit Trail Report to keep track of all products and/or services sold - use the real-time data to improve internal controls and identify any weaknesses or errors in your accounts receivable
 
Receive a detailed rundown of every Stock Item transaction, including the Document it's attached to, it's specific category codes, transaction date and type, document reference and accounting details
 
Keep track of stock levels and values easily, and use this data to recognise your bestselling products, identify profits and make informed stock management and ordering decisions
 

Debtors Audit Trail:

Easily view and keep track of every transaction posted for your debtors - use the real-time data to improve internal controls and ensure accounting accuracy
 
Filter by Date Range to hone in on a specific accounting period and receive a full image of your accounts receivable
 
View business totals for Sales, VAT, Payments, Discounts and Journal Debits/Credits with a click of a button

Customer File Report

2. Customer File Report
 
The Customer File Report provides a concise and useful rundown of either a single Debtor, or multiple Debtors, including information such as:
- Contact & Delivery Details
- Group Code & Important Accounting Data
- Credit Limits, Available Credits & Account Balances
- Sales and/or Credit, both Month-To-Date & Year-To-Date
- Date of Last Sale & Date of Last Credit
- Notes and Messages
 
Filter by Debtor Code and/or by Debtor Group Code to easily narrow down on a specific client or client subset
 
Identify which Account Types you wish to pin-point, either Balance Forward, Open Item or Both:
 
Balance Forward: transaction information is retained only for the current period, which is then consolidated into an account total and brought forward at the beginning of each subsequent period
Open Item: Individual transaction information saved and detailed on customer statements until it's removed through paid transaction removal
 
Use the handy "Duplicate" button to set the "To" search range to be identical as the "From" criteria
Or the "Clear" button to clear any search criteria that has already been entered
 
After the relevant filter criteria has been entered, press the "Print" button to view the report or "Cancel" to cancel any changes made and return to the main Win Accounting Debtor Control Reports screen

Age Analysis Reports

3. Age Analysis Reports
 
Use the Age Analysis Report to quickly and easily determine which Invoices are overdue for payment
The Report breaks down your accounting data into the following columns: Current, 30 Days, 60 Days, 90 Days, 120 Days and 150 Days
 
This report also provides the Total Amount Due for each Debtor, as well as the Date of their last Credit
As the Age Analysis Report is often used as a Collection Tool, debtor's contact information is also supplied to help speed up the process
 
Besides setting the Ageing Date To Use, Debtor Code and/or Group Code in the Report Filter Criteria screen, you'll also have the following options:
- Show/Hide Credit Limit
- Show/Hide Contact/Telephone
- Show/Hide Nil Balances
- Print in Code Order or Name Order
- Options to exclude all Current Balances
 
After the relevant filter criteria has been entered, press the "Print" button to view the report or "Cancel" to cancel any changes made and return to the main Win Accounting Debtor Control Reports screen

Sales Statistics button

The Sales Statistics Reports provide massive amounts of vital information that can be used to enhance your Sales Process
Win Accounting's Sales Statistics are broken down into the following Reports:
 

Product Analysis:

Assign cost and revenues to your products to easily recognise your most profitable products
Cut holding costs and prevent overstocking by pinpointing slow-moving inventory items
 
Filter Criteria for Product Analysis include:
- Date Range
- Product, Salesman and/or Debtor Code Range
- Option of Full or Summary Report
 

Salesman Analysis:

Enhance the efficiency and ensure the success of your sales team with a detailed salesman analysis
Assign salesman codes and take full control of commission management
 
Filter Criteria for Salesman Analysis include:
- Date Range
- Salesman, Product and/or Debtor Code Range
- Option of Full or Summary Report
- Option to Separate Each Salesman by Page Break
 

Customer Analysis:

Boost your customer retention rate by identifying your top clients and putting programmes and incentives in place to keep them coming back for more
 
Filter Criteria for Customer Analysis include:
- Date Range
- Debtor, Salesman and/or Product Code Range
- Option of Full or Summary Report
 

Document Analysis:

Filter, track and explore each and every business transaction with ease – print, export and send statements using the fully customisable templates provided
 
Filter Criteria for Document Analysis include:
- Date Range
- Document Type, Document Number, Debtor, Salesman and/or Product Code Range

Vat Report button

The Win Accounting VAT Report provides a summarised overview of your VAT transactions over a specified accounting period, playing a vital role in speeding up the process involved in completing your VAT Return
 
While VAT rules share many core similarities around the world, implementation can often be very different - with this in mind, our VAT Code implementation is designed to be holistically flexible, allowing you to meet your specific VAT needs and achieve complete tax compliance
 
Eliminate the burden of manual VAT processing, minimise human error involved in VAT returns and receive valuable vat-related information, ideal for speeding up business audits
 
Choose from a Full VAT Report (that provides detailed line item information) or a Summarised VAT Report (that provides VAT-Specific Totals)
 
Note: While Win Accounting refers to the concept as VAT (Value Added Tax), the concept and its inner workings are synonymous with that of GST (General Sales Tax) 
 
Filter Criteria for VAT Reports include:
- Date Range
- VAT Code Range
 
After the relevant filter criteria has been entered, press the "Print" button to view the report or "Cancel" to cancel any changes made and return to the main Win Accounting Debtor Control Reports screen

Statements button

Quickly review and print Debtor Control Statements using the Win Accounting Statements Report
 
Filter Criteria for Statement Reports include:
- Statement Date Range
- Debtor and/or Debtor Group Code Range
- Account Types (Balance Forward, Open Item or Both)
- Show/Hide Statements with Zero Balance and/or No Movements
 
Choose your desired Output Definition/Report Layout and select the Output Type (Preview, Print, PDF etc.)
 
Please Note: Statements will be processed and displayed individually for each unique Debtor - this makes it easier to set flexible output setting for each debtor/statement, without needing to run the report separately each time

Use the Debtors Ledger Report to quickly and easily receive a concise Debtors Audit Trail, including:
- Debtor Code & Personal Details
- Contact Information
- Credit Limits, Available Credits & Account Balances
- Sales and/or Credit, both Month-To-Date & Year-To-Date
- Date of Last Sale & Date of Last Credit
- Notes and Messages
 
Filter Criteria for Debtors Ledger Reports include:
- Transaction Date Range
- Option to Print All Debtors or Active Debtors Only
- Debtor and/or Debtor Group Code Range

Receive a comprehensive Document History for your Invoices, Credit Notes, Orders and Quotations using the Win Accounting Document History Report

Invoice Document History Report:

Receive a comprehensive report of your Invoice History
 
Filter Criteria for the Invoice Document History Reports include:
- Date Range
- Document Number Range
- Show/Hide Done Invoices, Not Done Invoices or Both
 

Credit Note Document History Report:

General Ledger button

9. General Ledger button
 
Receive a comprehensive summary of all business transactions with regards to your Debtors and use this valuable data to evaluate the financial health and activity of your Accounts Receivable
 
The Debtors Control General Ledger Report can also be used to prepare key Financial Statements and identify & locate any Accounting Errors
 
Filter Criteria for the Debtors Control General Ledger Report includes:
- Date Range
- Option of Full Report or Summary Report

The Setup / Configuration Report provides a quick and easy place to review all the business and admin-related information that has been entered by the user into the Win Accounting Debtors Control Module
 
The Setup/Config Reports/Lists include the following:
- List of Debtor Groups
- List of Sales Team
- List of Debtor Delivery Addresses
- List of VAT Rates
- List of your Products
- List of Sub-Stock Items
- List of PDCs (Post-Dated Cheques)
- List of Recurring Debits
